Experience/Qualifications/Education Preferences
• High school diploma/GED required
• Bilingual in English and Spanish
• College Degree or Associates Degree, recommended, but not required
• Eligibility to work in the U.S.
• Minimum of 3 years Administrative or customer service experience required
• Proficient in Microsoft Office and Excel skills
• Experience with different roofing systems and SmartCare preferred
• Knowledge of industry standards, regulations and laws
• Sage 100 and / or Paycom experience recommended, but not required
• Dataforma experience recommended but not required

Summary
In this role, you will support the regional branch with the essential functions necessary to achieve and maintain outstanding performance in Service and Operations. The Service Coordinator must have a strong background in excellent communication skills and customer satisfaction. Everyday responsibilities consist of invoice entries, scheduling, service work progress, and assisting with client needs. Working as a team player in all aspects, this position will be an ideal job if you are a self-starter who enjoys working in a fast-paced environment and takes great pride in their work. This position reports directly to the Regional Branch Manager This position is an hourly, non-exempt position to be performed in office, not remotely.
Duties and Responsibilities
Work Order Management:
• Generate purchase orders from Superintendents and Branch Manager input, match receivers and invoices
• Verify warranty coverage for services and inform clients accordingly.
• Create and schedule work orders efficiently.
• Billing – General invoicing & necessary follow-ups
• Update and track work order statuses in client portals.
• Ensure completed work orders have clear, understandable descriptions.
• Send out Preliminary Notices, if needed
• Assist with Manufacturer Warranties
• Assists the Superintendents and Branch Manager with any other duties and functions necessary to provide excellent customer service and maintain outstanding performance in
Operations Client Communication:
• Notify clients of service dates and communicate any delays promptly.
• Call clients for NTE (Not to Exceed) approvals as needed.
• Answer and assist customers, other departments or branches, via phone, email or in-person interaction
• Scheduling calls and/or emails with internal and external clients
• Create and manage proposals, including following up on open proposals.
Employee Support:
• Assist with the onboarding process for new employees, ensuring a smooth transition.
• Assist with payroll timesheets to ensure the accuracy of payroll entries to Paycom and follow-up with employees when necessary
• Assists with maintaining branch inventory records for trucks, equipment and materials in the warehouse
•Works with credit card systems to process and verify spending by production department personnel
• Incoming and outgoing mail and/or packages
• Office Supplies Inventory
• Other duties as assigned.
